PARTICIPATION IN AAA TOURS IS OPEN TO EVERYONE

You need not be a AAA member to enjoy AAA motorcoach tours. Any individual needing special assistance on any one of our tours is asked to notify AAA at the time you reserve space, so that we may attempt to provide the type of arrangements you require. Although we can make arrangements for handicapped accessible rooms, we will not provide personal care or mobility assistance on these tours.

PROOF OF CITIZENSHIP

All U.S. Citizens must have a valid passport in their possession well before an international tour or cruise departure date. Persons who are not U.S. Citizens must have the necessary visas in their possession and should check with their AAA Travel Agent or counselor for additional entry requirements.

ITINERARY CHANGES

Due to unforeseen circumstances, it may sometimes be necessary to make changes in either the itinerary or the scheduled accommodations. In such rare cases, you are assured the value of the substitution will be equal to or exceed the original value.

SMOKING IS NOT ALLOWED ON BOARD ANY MOTORCOACH

Ample breaks are made for sightseeing and rest stops along the way.

SEAT ASSIGNMENT AND ROTATION

Seats are not assigned in advance; they are assigned on a first come first serve basis. Seat rotation generally takes place once a day, depending on the tour or daily itinerary. You will be asked to observe the seat rotation plan each day, so that everyone enjoys the view from different parts of the motorcoach. The tour escort will occupy the seat immediately behind the driver at all times during the trip. There is no seat rotation on one-day tours.

LUGGAGE

One large suitcase per person is allowed. A small carrying case or bag may also be carried by each passenger who assumes responsibility for it at all times. Although every effort is made to handle passenger's luggage as carefully as possible, AAA Tidewater Virginia cannot assume liability for loss or damage due to theft, hotel or carrier handling. We highly recommend the purchase of baggage and personal possessions insurance which is available, at reasonable cost, at any AAA Service Center. Insurance applications will be provided upon request. An additional suitcase will be carried at a cost of $5.00 per tour day. Baggage is at "owner's risk" throughout the tour, and should be insured separately by the participant. Small articles (coats, wraps, umbrellas, small handbags, etc.) are entirely under the care of the passengers.

TOUR DOCUMENTS

Final tour documents for motorcoach tours are mailed approximately 10 days prior to departure. These include all essential information pertaining to your tour. For air programs, a tour briefing is normally held with 20 or more passengers approximately 10 days prior to departure.

GRATUITIES FOR ESCORTS AND DRIVERS

Tips for Tour Escorts and Bus Drivers, although customary, should not be regarded as a necessary tour expense. If you wish to reward these people for a job well done, your appreciation should be extended on an individual basis, and not as a group. Departure Point Parking: Parking at pick-up points is at your own risk.

TRIP CANCELLATION INSURANCE

If, due to a genuine medical emergency, you must cancel your trip before departure, return home early, or delay your return Access America, which reimburses financial loss, is available at all AAA Service Centers; an application will be provided upon request. This insurance is highly recommended and is definitely more beneficial than many alternatives, such as Cancellation Fee Waiver which gives only limited protection and does not cover accidents and medical emergency while traveling. AAA Tidewater Virginia urges you to purchase trip cancellation insurance. Ask your AAA Travel Agent or counselor for an application. (The application lists details regarding pre-existing conditions, exceptions and limitations).

RESPONSIBILITY

AAA Tidewater Virginia, d/b/a AAA Travel, as well as its agents, and each of its affiliated Clubs or Associations, give notice that all tickets and documents are issued or delivered by them, and all arrangements for transport or conveyance, or for hotel accommodations and other travel-related services are made by them as Agents for the Vendors, and they shall not be liable for any injury, damage, loss, accident, or irregularity which may be occasioned either by reason or defect in any vehicle or through the act or default of any company or person engaged in conveying the passenger, or of any hotel proprietor, or employee, or in carrying out the arrangements of any trip, or otherwise in connection therewith. No carrier shall have, or incur, any responsibility to any person taking any trip, except its liability as a Common Carrier. The act, omission, or event during the time the passengers are not on board their planes or conveyances. The passage contract in use by the airlines, cruise lines and/or other common carriers concerned, when issued shall constitute the sole contract between the carriers and the purchaser and/or passenger of any trip. On tours where AAA Tidewater Virginia acts as Tour Operator, it is the principal and is responsible to the tour members in making the arrangements of those tours described herein, provided. However, AAA Tidewater Virginia, its associated companies, representatives, and cooperating organizations, each and all, in the absence of negligence on their part, expressly disclaim all responsibility or liability of any nature whatsoever occurring during a tour. And each tour participant, by paying for said tour, agrees to waive any claims against AAA Tidewater Virginia for same. All tickets, coupons and orders are furnished and issued subject to the foregoing and to any and all terms and conditions under which the means of transportation and/or other services provided thereby are offered and/or supplied. In consideration of payment of the full tour price, AAA Tidewater Virginia agrees to provide the tour(s) offered subject to the terms, conditions and limitations as set forth herein.

SPECIAL NOTE

Tour costs shown in the catalog flyer are subject to confirmation or adjustment at any time prior to departure. The right is reserved to make additional and separate charges for changes and alternations which are made at the purchaser's and/or passenger's request. Passengers may leave or abandon the tour at any time at their own risk and expense.

PRICE CHANGES

Because of the uncertainty of motorcoach/air fuel costs or port fees, the prices quoted are subject to change. Prices are subject to adjustment up to time of final payment. They will not be increased after that time.

TOUR PURCHASE CONDITIONS

In making travel and tour arrangements and in obtaining and issuing tickets, coupons, vouchers and other items related thereto, AAA Tidewater Virginia is acting as Agent for Owners, contractors, vendors, operators, tour wholesalers and/or transportation carriers through whom arrangements are made, and cannot be responsible for the actions of any parties who are to supply the actual services and features which are included in the tour. It sometimes happens that travel schedules change, hotels vary in quality and certain other tour features have been modified. Should revisions in your tour arrangements occur, they will be the result of unforeseen circumstances. In spite of our best efforts, we have no way of fully guaranteeing the performance of other responsible parties. While we endeavor to do our best at all times to select and recommend the most reputable and financially sound travel and transportation companies to provide services on your behalf, we are also concerned that you are aware of and fully understand the limitations of the responsibility which we are able to assume. AAA Tidewater Virginia does not own, manage, control or operate any transportation vehicle, hotel, restaurant or other supplier of services. Travel documentation and compliance with customs regulations are your responsibility. No employee of AAA Tidewater Virginia has authority to change the terms under which you agree to take this tour.

AAA Tidewater Virginia, d/b/a AAA Travel, as well as its agents, and each of its affiliated clubs or Associations can accept no responsibility for losses or additional expenses due to delay or changes of schedules, weather, strikes, war, quarantine, or other causes. All such losses or expense will have to be borne by the passengers. The right is reserved for cause to decline to accept or retain any person as a member of any tour described herein. The right is reserved to cancel any trip, in which case all funds paid will be returned without any further obligation on the part of AAA Travel.

PHOTO RELEASE STATEMENT

This confirms the agreement between you and AAA Tidewater Virginia, and your participation in a AAA Motorcoach Tour, in which you may be photographed or videotaped. You hereby agree to allow AAA Tidewater Virginia to record your voice and/or image and give AAA Tidewater Virginia and all persons or entities acting pursuant to AAA Tidewater Virginia's permission or authority, all rights to use these recorded images. You hereby authorize AAA Tidewater Virginia may use these photographs/video on its World Wide Web site or in other official printed publications for educational, advertising, and promotional purposes in all conventional and electronic media, and any future media without further consideration. You understand and agree that these images and recordings may be edited, duplicated, reproduced, distributed with and without charge, and/ or altered in any form or manner without future/further compensation or liability, in perpetuity. You also acknowledge that AAA Tidewater Virginia may choose not to use your photo/ video at this time, but may do so at its own discretion at a later date.
